The Project Manager is responsible for the detailed day-to-day project management of a variety of projects that reside within the UWP Project Management Office (PMO). He/she is responsible for the management and monitoring of all assigned projects. In addition to managing projects, the Project Manager is responsible for facilitating continuous improvement activities including Kaizen, root cause analysis and development of process improvement/system optimization opportunities that enables UW Physicians to identify and implement efficiencies across multiple departments.

 

The Project Manager will assist in providing training to UWP staff relating to his/her assigned projects, as well as project management support. The Project Manager will have responsibility for managing teams that include in-house, vendor, and consultant resources, and communication of project status and issues with UW Physicians leadership.

 

Education:

  • Bachelors’ degree in healthcare related field, computer science, business or related field. Equivalent combination of experience and at least two years post-secondary education may be considered
  • Completed process improvement training/coursework
 
Experience:
  • 3 years of experience in the following: project management with projects of medium to high complexity, business analysis and requirements definition with a thorough understanding of data analysis, process improvement methodologies, and requirements documentation techniques
  • 3 years of experience in applying project management techniques and developing and using standard project management tools and approaches to managing complex, multi-disciplinary projects. This includes tools for issue/risk management, status reporting, and communications, as well as tools for various stages of project management (i.e., impact assessment, requirements definition, design/decisions, cutover planning, etc.)
  • 1-2 years of process improvement application experience or other applicable DMAIC experience in a healthcare setting (such as Lean or Lean Six Sigma).

 

Certification Requirements:

  • Certified Associate in Project Management (CAPM) or Project Management Professional (PMP) certification preferred.
  • Six Sigma Green Belt Certification preferred
 
Knowledge, Skills & Abilities:
  • In depth knowledge of project management methodologies, best practice project management tools and techniques, and PMI concepts.
  • Ability to lead or participate in Lean or Process Improvement activities including Kaizen, Value Stream Mapping, Affinity mapping, Process mapping
  • In depth knowledge and practice at creating process improvement tools including Six Sigma and/or Lean tools (A3’s, DMAIC, AND, Pareto Chart, SIPOC, FMEA, Fishbone/Scatter Diagrams and Cause & Effect ).
  • Strong knowledge of medical billing/coding practice and revenue cycle helpful. In depth knowledge of physician/professional billing is a plus.
  • Knowledge of academic medical center operations and complex practice management systems helpful.
  • Excellent leadership, team management and relationship building skills and presentation skills.
  • Solid problem-solving skills and ability to focus both strategically and tactically to achieve business goals.
  • Ability to quickly adapt to changing or challenging environments, ability to be self-directed and work independently using time management techniques.
  • Excellent oral and written communication skills, with the ability to convey a positive and professional image, and to interact effectively with diverse personalities and backgrounds.
  • Knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, sentence structure and grammar.
  • Ability to deal effectively with difficult situations and adapt to challenges.
  • Knowledge of business and management principles involved in strategic planning, resource allocation, human resources management and leadership, production methods, and coordination of people and resources.
 
Computer/Software: 
  • Proficiency with Windows based software and Microsoft Office Suite products in a network environment.
  • Experience using healthcare IT technologies, strong preference for Epic experience, particularly with Epic Resolute PB.
  • Experience using Microsoft Project or other project management tools to develop the Work Breakdown Structure and estimates of task durations used to management the discreet work elements of the project.
  • Experience with reporting tools to support decision-making and communication.
  • Experience using Microsoft tools to support project management, including MS Project Server, SharePoint, Visio, Excel, PowerPoint.

 

Essential Duties & Responsibilities:

  • Lead complex, cross functional UWM and UWP projects through initiation and planning phases by ensuring completion of all phase appropriate documents including charters, detailed project plans, stakeholder analysis documents, scope statements, budget documents, and governance structure documents.
  • Perform stakeholder management through effective stakeholder analysis as well as roles and responsibility establishment. Work with project owners to orient project team, staff projects, communicate project deliverables and expectations, and provide overall project purpose to ensure a positive and collaborative work environment.
  • Actively manage project issues and risks throughout the project life cycle by using standard issue/risk management guidelines. Identify mitigation and contingency plans within appropriate timeframes; escalate to project sponsors, team and key stakeholders as necessary.
  • Manage all components of project execution using standard PMO tools, templates,  and procedures. Complete all project deliverables within the appropriate deliverable dates by utilizing MS Project, WBS and other tracking tools.
  • Manage project communications through the creation of comprehensive communication planning documentation. Prepare communication plans, status reports, external vendor communications and related project reports. Facilitate regular status meetings with project team, sponsors and key stakeholders to review activities and deliverables.
  • Assist in identifying and implementing PMO standards, culture and guidelines of best practice project management methodologies, processes and tools that will support the needs of customers, stakeholders and organization. Promote utilization of PMO best practices, PMO standards and PMO objectives within the organization.
  • Identify and coordinate cross functional technology and operational process improvements using standard PMO process improvement tools; conduct interviews and facilitate workshops with stakeholders to analyze operational or system processes for improvement opportunities.
  • Identify and handle the project management of workflow process improvements including reengineering of business processes and implementation of change management systems for complex projects that cross multiple systems with multiple stakeholders.
  • Define and manage overall change control processes, scope change procedures and quality assurance aspects of the project to ensure project success.
  • Understand and define best project methodology approach for technology projects, operational projects and iterative projects using SDLC, Waterfall or Agile methods.
